Anyone registering digitally every day should know what happens between sending and the notice. All statements come from sections 18, 19, 23 and 25 of the Vehicle Registration Ordinance and from the Federal Ministry of Transport.

Which portal does an online application go through?
An electronic application must be filed through the IT system the registration authority has set up for it – the portal. According to the Federal Ministry of Transport, the states and municipalities provide the portals, since September 2023 also for legal entities; they are reached via the website of the competent registration authority.
How is the automated decision made?
- The portal checks the entered data by machine.
- If the requirements are met, an automatic facility of the portal issues the decision entirely by itself.
- The decision is displayed immediately as text and provided as a write-protected electronic notice.
- After retrieval, data and decision go to the registration authority's internal systems.
Which time limits apply in the portal?

What happens if the notice is not retrieved?
If it is not retrieved within the 30 minutes, the registration authority sends the keeper a printout of the automated notice. According to the Federal Ministry of Transport, immediate use of the vehicle is not possible without a temporary registration proof retrieved in time.
What happens if the machine check fails?
- The decision passes to the registration authority.
- The authority is not bound by the result of the machine pre-check.
- The keeper then receives the decision as a written notice.
Where can you see whether a portal is available?
The Federal Ministry of Transport refers to the i-Kfz dashboard. It shows data on the availability and use of the public i-Kfz portals and of the large-customer interface. Legal entities with more than 500 registration cases per year register for the large-customer interface of the Federal Motor Transport Authority.
What does this mean for the dealership?
